Zapier is a no-code automation platform that connects web applications so they can pass data to each other without custom code. You build automated workflows, called Zaps, in which an event in one app (a trigger) causes one or more actions in other apps. For marketers it is a common way to add AI workflow automation to everyday tasks. In MLforSEO’s keyword research material, Zapier also appears as a well-known case study in programmatic SEO.

How it works

  • Trigger: something happens, such as a new form submission, a new row in Google Sheets, a new post in WordPress or a new email.
  • Actions: Zapier performs steps in connected apps, such as creating a CRM contact, posting to Slack or sending text to an AI model for summarising or classification.
  • Logic and data: filters, paths, formatters and lookup tables shape the data between steps.
  • AI: built-in AI steps and integrations with model providers let a Zap call an LLM. Under the hood, each connection uses the app’s API, authorised with your account or an API key.

How it’s used in SEO and marketing

  • Content operations: when a draft is marked ready, create a task, notify the editor and generate a summary or social post draft.
  • Lead handling: enrich and route form leads, then add them to email sequences.
  • Reporting: push weekly metrics from tools into a Google Sheet or Slack channel.
  • Monitoring: alert the team when a new brand mention, review or Search Console message arrives.

Example

MLforSEO uses Zapier’s own growth to explain demand creation in the EAV model and information gain lessons. Zapier built landing pages for individual apps and app-to-app integrations (such as connecting one named tool to another) when most of those combinations showed little or no search volume. The pages became the canonical answers to questions users later learned to ask, which is why search volume alone can be a poor guide to the value of entity-attribute combinations unique to your product.

Limitations and things to watch

  • Costs scale with the number of tasks run, so high-volume or many-step workflows can get expensive.
  • Complex logic and large data sets are often easier in code, Apps Script or self-hosted tools such as n8n.
  • Each connected app gets access to your data. Review permissions and what is sent to AI steps.
  • Automations fail quietly when an app changes; set up error notifications and review runs.
